In this easy-to-follow guide, we provide some extra advice on ensuring your business remains spam-free and sending marketing emails without breaking the law. Never respond The email may include unsubscribing instructions. However, responding merely tells the mail sender - or spammer - that they have reached your email account. So, simply block them while they're in your inbox. Don't open spam Spam may use a web address or picture to check that you've opened the email, encouraging spammers to send more. Don't post your email address Only give your main email address to people you know. Many spammers buy email address lists from brokers, compiled from internet newsgroups, websites, chat rooms, membership directories and other sources. So, use an alternative email address, for example Hotmail or Yahoo, for your online activities. Review user agreements When signing up for services such as online banking, shopping or newsletters, check the user agreement to ensure they won't share your email address with other organisations. Use more characters Some spam programs send junk mails in sequence, for example, june.brown@inty.com, june.jones@inty.com, june.smith@inty.com. Putting character combinations in your address makes capturing your name difficult, for example, june_no-spam@intY.com, june_filtered@intY.com. Just get in touch, and we can add alternative addresses to your account. Use inbox filters If you have Microsoft Outlook or Express, use the 'Inbox Rules Wizard' to move all emails to specified folders, such as a junk email or deleted items folder. However, make sure you check occasionally that the filter isn't capturing emails you want to receive. To learn about setting this up, click 'Help' and type 'filters' in the program. The letter of the law Not all bulk email is spam. Your business may send regular emails to customers. However, on 11 December 2003, the Privacy and Electronic Communications (EC Directive) Regulations 2003 came into force, rendering spam illegal without recipient consent. So, please follow these guidelines to ensure your emails reach their destination and that you stay on the right side of the law. |
